| Job Summary Provide support for senior level executives, as well as general office management, to include space planning and tracking physical location assignments of staff. Primary responsibilities to include: • Prepare agendas and organize meetings to include off-site meetings. • Create meeting minutes and distribute in a timely manner. • Record issues and action items and work with functional leads to provide updates. •• Collaborate with other office administrators on execution of executive direction and coordinate special activities. • Track and report program assets. • Prepare monthly management reports by gathering program input as required by senior level management. • Calendar Management. • Schedule meetings. • Handling Travel Arrangements. • Facilitate day-to-day requests and other critical action items on behalf of the VP. • Maintain VP's ever-changing calendar and daily schedule. • Handle general clerical duties, such as faxing, filing, photocopying, compiling documents, expense reports and other tasks. • Management of Office Assistant. Required Skills/Abilities • Outstanding organizational skills and attention to detail. • Demonstrated ability to successfully coordinate projects and work as a member of a team. • Effective written (to include editing) and verbal communication skills. • Excellent problem solving skills. • Strong computer skills with proficiency in Microsoft Office: PowerPoint, Excel, Word, Outlook. • Ability to prioritize, multi-task and thrive in a fast paced environment Education/Experience Associate's degree in business and a minimum of five (5) years of experience, including administrative support in an office environment; or equivalent combination of education and experience.
